Authors

Authors are entities in Codex that can be assigned to the Authors field of an entry. They typically represent users who write articles in Codex on behalf of the organization.

It is important to clarify that in order to view or manage authors within your organization, you need to have the appropriate permissions assigned under the Administration tab of your respective team.

The Administration component on the left side menu provides access to the Authors Listing Dashboard, which offers a comprehensive overview of the organization's authors. This dashboard includes several columns:

  • Profile photo icon: Displays the author's profile photo.

  • Name: Shows the name of the author.

  • Email address: Displays the email address of the author.

  • Date: Indicates the date on which the author was created.

  • Quick action buttons (represented by three dots): Allows for editing or deleting the author.

To enhance user convenience, the dashboard also includes a search bar located in the top-right corner of the Authors Listing Dashboard. This enables quick and easy identification of specific authors. Additionally, the "+ Add author" button is prominently placed in the top-left corner, providing easy access to the option of adding new authors to the organization.

When a user joins an organization, an Author profile is created for them by default. Users with appropriate permissions can then create additional Author profiles, which can be named as Custom Authors.

Adding a new author

To add a new author to your organization, follow these steps:

  1. Navigate to the Administration component in the left side menu.

  2. Select the Authors link from the left side menu.

  3. In the Authors Listing Dashboard, click the "+ Add author" button located in the top-left corner.

  4. A new page will open with the author's metadata fields to be filled in, including:

    1. Image: An image of the author, with a maximum size of 120px and 1MB, in either PNG or JPG format.

    2. Full Name: The author's complete name, which is a required field.

    3. Bio: A short biography of the author, detailing their education, work experience, and current activities.

    4. Email address: The author's email address.

    5. Profile URL: The URL of the author's profile can be automatically generated with the author's name and ID after creating the author, or it can be configured manually.

    6. Profile Visibility: A toggle switch to make the author's profile public or private to others.

    7. Online Connections: Personal website of the author and links to their social media profiles, such as Facebook, Instagram, Twitter, LinkedIn, Telegram, TikTok.

  5. Once all metadata fields are filled in, click the "Save" button to add the author.

  6. The new author will be added to the Authors Listing Dashboard.

Adding an author to the Authors field

The primary purpose of adding an author within an organization is to assign them to the Authors field of an entry for various purposes, typically representing users who write articles in Codex on behalf of the organization. Below, an example is provided with an image to explain how to add an author or multiple authors in the Authors field of an entry. In addition to adding existing authors, you can create a new one at the entry level by typing the full name in the Author's field and then clicking the "Create New" button. This action will automatically save the new author in the Authors Listing.

Note that the configuration of the Authors field is determined by the model used to create the entry. This configuration includes aspects such as whether the field displays single or multiple authors, whether it is a required field, whether there is a limit on the number of authors that can be added, and other related settings.
